I’ve seen it a hundred times with clients, and I’m gonna tell you what I tell them: McDonald’s doesn’t win because they hire superstars. They win because they’ve got systems so tight, teenagers can run the show. Think about that.

If you’re the only one who knows how things work, you’re screwed. Standard Operating Procedures (SOPs) are just fancy words for “how we do stuff.” Without them, you’re babysitting every task, and your team’s guessing. That’s not scaling, that’s surviving.

Try this: Take something simple, like how you post on social media. Make a checklist: what’s the process, what tools do you use, who does it?

Stick it in a Google Doc. Done.


3. Workflows Stop the “What’s Next?” Hell

Ever feel like you’re herding cats with your team? Or like you’re juggling a million tasks in your head? That’s what happens without workflows. A workflow is just a map of who does what, when. It’s like giving your business a GPS.

Try this: Grab a tool like Trello or Notion. Map out one process, like delivering a client project. List the steps, who’s on it, and when it’s due. Watch the chaos fade.


4. You Can’t Delegate Without a Plan

You know you need to delegate, but handing off tasks without a clear process is like tossing a grenade. You’ll end up cleaning up the mess. A delegation plan spells out exactly what you want, how it’s done, and when it’s due. It’s not micromanaging, it’s setting your team up to win.

Try this: Pick one task to hand off. Write a quick brief: what’s the job, why it matters, how to do it, and the deadline. Give it to your team and see what happens.


5. Rhythm Makes You Reliable

Scaling isn’t just about doing more, it’s about doing it consistently. You need a rhythm: regular check-ins, quick reports, or team huddles. It’s not sexy, but it keeps everyone on the same page and stops small problems from becoming disasters.

Try this: Set up a 10-minute weekly team call. Talk about what’s working, what’s not, and what’s next. Keep it short and stick to it.


6. Systems Make Clients Love You

Your clients don’t just want your product, they want to know you’ve got their back. Systems make sure you deliver the same quality every time, whether it’s a quick response or a polished project. That’s what turns one-off clients into raving fans.

Try this: Ask a client what bugs them about working with you (like slow replies). Build a fix, like a canned response or an auto-email. Small tweaks, big wins.


7. Systems Are a Lifestyle, Not a Checklist

Don’t think you’ll build one system and be done. This is a way of thinking. You start small, tweak as you go, and get your team involved. It’s not about perfection, it’s about progress. Every step makes your life easier.

Try this: Once a month, sit down for 30 minutes. Ask: What’s working? What’s a mess? Tweak one system based on what you find.
